Updating reports allows you to see what has changed between the two sets of results. Update flags new and changed records, and allows you to see which fields have changed. Update is a special case of the Combine feature.
While Update is mostly used for finding changes over time (updating a report with new search results), it can also be used to compare two search strategies.
When using Update, the first chart is the Baseline Chart, against which the rows in the other charts are compared.
Version 6.0 changes the way that hidden rows are handled when updating charts.
In previous versions, a hidden row was not considered during update. If you hid a row, it would not be carried over to the updated chart. This was fine ... unless the hidden row was in the chart that you were updating with. In that case, it would come back as an added row in the updated chart, requiring you to spend time evaluating the row again.
In Version 6.0, hidden rows in the baseline chart remain hidden in the updated chart. You don't have to evaluate them again. If the row was not changed by the update process, it will have a Row Status of "Unchanged Hidden". If the row had an update, the Row Status will be "Updated Hidden".
Update compares rows in the baseline chart to versions in the new search results, looking for duplicate rows (the same database and accession number). Update puts the results of that comparison in the Row Status column, and if View | Color Code Changed Cells is active, in the row number button.
| Added | If a row is present in the new charts but not in the baseline chart, the row is marked as Added. |
| Updated | When a row is present in the baseline and in new charts, Update checks the date on both records. If the new record is more recent, the row is marked as Updated. If the rows do not have dates, Updated indicates that the new rows have changed content in cells. |
| Unchanged | If a row is in the baseline chart, but not in the new charts, it will be marked Unchanged. This is also the case if the row is present in the new charts but there are no differences. |
| Not In Added Results | This is a special case when using the "Update with a complete new set of results" option, to indicate that a row was present in the baseline chart but not in the new charts. |
If a row is hidden in the baseline chart, the word "Hidden" will be added at the end of the row status.
When a row changes, and is marked with a Row Status of "Updated", any cells where the text is different between the baseline chart and the new charts will be marked in blue.
In BizInt Smart Charts for Patents, changes in the Patent Family column will also be reflected in the New Publications column. See the New Publications support page for more details.
When you send an updated chart to the Smart Data Integrator, the Row Status column is handled by a special rule. A row will only be marked "Added" if all of the rows in the group are marked "Added". Otherwise, adding a new row from one source will "Update" an existing group of records.
Follow these steps to update a report by combining a new chart with an older chart and comparing the information. We recommend that you Update your chart before reviewing records. See the section on hidden rows for more information.
To begin, ensure that the older (baseline) chart and the charts with new data are open. Go to the File menu and select Update...
